The Grand Hotel Birmingham has always been more than just a place to stay. First opened in 1879, the hotel was envisioned as a 100-room venture designed to attract commercial travellers. But it quickly became a social cornerstone for the city, hosting such icons as Winston Churchill, Malcolm X and Charlie Chaplin.

After closing in 2002, the derelict ‘Sleeping Beauty of Birmingham’ was revived through a major restoration, returning in 2021 as a showcase of high-end Victorian splendour blended with contemporary luxury, including a late-night jazz bar.

For Lee Clarke, sales and marketing manager at the Grand Hotel Birmingham, that sense of continuity matters. “The building has real history, but the expectations today are completely modern,” he says. “Guests want the elegance and the story, but they also want everything to be quick, intuitive and reliable, especially when it comes to booking and paying.”

That combination of heritage and modern service shapes everything from the guest welcome to how the hotel operates behind the scenes. Payments might not be the headline feature, but when they go wrong, they can quickly undermine an otherwise exceptional stay.

Complex hotel payments

Hotels don’t take payments in a single, simple moment. A stay can involve a booking deposit, pre-authorisation, incidental charges, final checkout and sometimes adjustments afterwards. Add food and drinks, events and other on-site services, and the payment picture becomes even more layered.

The most challenging part of hotel payments is that it’s rarely just one transaction, explains Matty Carter, the hotel’s operations manager: “You’re managing stages, pre-authorisations, changes, cancellations, plus everything that happens during the stay. You also have virtual credit cards coming from online travel agencies, plus the ongoing need to reduce fraud and secure data across multiple systems.”

In a busy hotel, even small friction points can multiply quickly, especially at peak check-in and check-out times. They can affect staff time, reconciliation and the quality of service guests receive.

Elavon provides an integrated approach to payment processing, helping the hotel manage payments across different parts of its operation.

“Elavon is with our guests every step of the way, from check-in to ordering drinks at the bar, from ordering food in the restaurant to room service in the bedrooms,” says Lee. “It really does have that omnichannel presence.”

One guest journey, many ways to pay

Booking and paying need to be easy, whether they happen weeks in advance or at reception and whether the guest is travelling for business, attending an event or celebrating a special occasion.

“Making booking and payment simple is crucial now,” says Matty. “It affects the guest experience, but it also affects how the hotel operates. If the process is smooth, it reduces the workload on staff and helps drive direct bookings. People expect digital, instant options as standard.”

A consistent payment process can help reduce no-shows and lower the risk of issues arising later in the stay. It also allows the hotel team to concentrate on delivering a calm, professional welcome.

The hotel uses Pay by Link to facilitate pre-payment after making a booking. “With Pay by Link, we can send the customer a payment link online for them to prepay,” says Matty. “It offers a secure, verified method of payment. Pay by Link means peace of mind for us and for our customers, too.”

That support matters particularly during the busiest arrival times. “Everyone wants to check in at the 3pm check-in time, which means there could be queues. Elavon is a huge support to keep the queue moving so everyone can get to enjoy what they’re actually here for.”

Reporting brings the picture together

Payments data is not just about confirming that transactions went through. For the hotel, it supports financial reconciliation, operational planning and a clearer understanding of performance across different revenue streams.

“We pull reports from Elavon on a daily basis for reconciliation,” Matty says. “They’re in-depth and easy to understand, which makes a difference when you’re working across different parts of the hotel. That visibility supports both finance processes and planning. Life before Elavon Connect was like a jigsaw puzzle with missing pieces.”

The hotel also monitors footfall patterns to guide decision-making. “Data helps us understand our peak days and times. It also shows where we need to focus in quieter periods, so we can maximise trade rather than just reacting.”

Because the hotel operates around the clock, its teams need information to be consistently available. “We need accurate, timely data and we need systems to be available at all times,” Lee says.

“We access information many times every day and if the website is slow or data takes too long to generate, that impacts how quickly we can support guests and keep management informed.”

Giving guests confidence

For an international hotel, payment choice also means giving guests clear information about currency, helping them understand the options available before deciding how they want to pay. Currency conversion can also generate additional rebate revenue for the business.

“Giving guests the option to pay in their own currency with Dynamic Currency Conversion offers security and trust,” Matty says. “It’s about transparency. Guests want to feel confident that they understand what they’re paying. And if our guest is happy, then we’re happy.”

“With Elavon’s support to reconcile the international payments in different currencies, it’s actually a really seamless task for our team to now undertake,” adds Matty. “It takes all the guesswork out.”

Security is equally important. Guests place their trust in the hotel when booking, paying and sharing their personal information, making payment protection part of the hotel’s wider reputation.

“Payment security is a huge priority for us,” Lee says. “We comply with all legislation, and we have internal procedures and policies to keep our staff and guests’ data safe. With Elavon, we can rest easy knowing we’ve got the highest standards of payments protection.”

A payments partner for the future

As the Grand Hotel Birmingham continues to evolve, its payments operation needs to support the scale and complexity of the business without placing an unnecessary burden on its teams.

Access to advice is an important part of that relationship. “We’re an independent hotel, so it’s important that we can talk to Elavon directly, have those conversations and ask for advice to make our payments processes even more seamless,” says Lee.

That direct relationship gives the team somewhere to turn as its payment needs change.

“Whether it’s a solo business traveller, a romantic meal, a conference or a gala celebration, with Elavon we’ve got everything in hand,” Lee concludes. “We absolutely rely on them every day of the week.”
